1. Agreement to Terms
By accessing ssretreats.com or booking a retreat with Sovereign State Retreats (“we,” “us,” or “our”), you agree to be bound by these Terms & Conditions. If you do not agree, please do not use our website or services. These terms apply to all visitors, guests, and participants of any Sovereign State Retreats experience.
2. Booking & Reservation Policy
All bookings are made through our website at ssretreats.com. To secure your reservation:
- A non-refundable deposit of CA$1,500 is required at the time of booking.
- The remaining balance is due no later than 30 days before the retreat start date.
- You will receive a booking confirmation via email within 48 hours of payment.
- All prices are listed in Canadian Dollars (CAD) unless otherwise stated.
We reserve the right to cancel any booking that has not been paid in full by the deadline. Spots are limited and allocated on a first-come, first-served basis.
3. Cancellation & Refund Policy
We understand plans can change. Our cancellation policy is as follows:
- 60+ days before retreat: Full refund minus the non-refundable deposit (CA$1,500).
- 30–59 days before retreat: 50% refund of total amount paid (deposit forfeited).
- Less than 30 days before retreat: No refund. Full amount forfeited.
- Transfer option: You may transfer your reservation to another qualified participant at any time before the retreat, subject to our approval. A CA$200 administrative fee applies.
All cancellation requests must be submitted in writing to retreats@ssretreats.com. Refunds are processed within 14 business days.
4. Retreat Participation
Sovereign State Retreats are designed for licensed mental health professionals — therapists, psychologists, social workers, and counselors. By booking, you confirm that:
- You meet the professional eligibility requirements for the retreat.
- You are physically and mentally able to participate in retreat activities, which may include surfing, horseback riding, hiking, breathwork, sauna, cold plunge, and ceremonial experiences.
- You will complete and sign a liability waiver and assumption of risk form prior to arrival.
- You agree to abide by our code of conduct, which prioritizes respect, confidentiality, and the well-being of all participants.
We reserve the right to remove any participant whose behavior disrupts the retreat experience, without refund.
5. Health & Safety
The retreat includes therapeutic and somatic experiences facilitated by qualified professionals. However:
- Retreat activities are not a substitute for medical treatment or ongoing therapy.
- Participants must disclose any relevant medical conditions, allergies, medications, or physical limitations prior to arrival.
- Facilitators are providing experiential and educational programming — not clinical treatment — during retreat activities.
- Sovereign State Retreats is not liable for any injury, illness, or adverse reaction arising from participation in retreat activities.
6. Photography & Media
Professional photography and videography may take place during the retreat for marketing and promotional purposes. By participating, you consent to the use of your likeness in our marketing materials, website, and social media unless you opt out in writing before the retreat begins.
Opting out will not affect your retreat experience. Please email retreats@ssretreats.com with your preference.
7. Intellectual Property
All content on ssretreats.com — including text, images, branding, logos, photography, retreat programming, and design — is the intellectual property of Sovereign State Retreats. You may not reproduce, distribute, or use any of our content without prior written permission.
8. Limitation of Liability
To the fullest extent permitted by law, Sovereign State Retreats, its founders, facilitators, staff, and partners shall not be held liable for any direct, indirect, incidental, or consequential damages arising from your participation in the retreat, use of the website, or reliance on any information provided. This includes but is not limited to personal injury, property damage, emotional distress, or financial loss.
9. Force Majeure
In the event of circumstances beyond our reasonable control — including but not limited to natural disasters, pandemics, government restrictions, travel bans, or civil unrest — Sovereign State Retreats may:
- Reschedule the retreat to a future date, with all payments applied to the new date.
- Offer a full credit toward a future retreat.
- In exceptional circumstances, provide a partial refund minus any non-recoverable costs already incurred.
We will communicate any changes as soon as reasonably possible.
10. Governing Law
These Terms & Conditions are governed by and construed in accordance with the laws of the Province of Ontario, Canada. Any disputes arising from these terms shall be resolved through the courts of Ontario.
