Welcome to ssretreats.com. These Terms & Conditions (“Terms”) govern your access to and use of the website and services provided by Sovereign State Retreats (“we,” “us,” or “our”). By accessing our website, submitting an application, or booking a retreat, you agree to be bound by these Terms in their entirety. If you do not agree, please do not use our website or services.
1. Definitions
- “Retreat” refers to any retreat experience, program, or event organized by Sovereign State Retreats.
- “Participant” or “Guest” refers to any individual who books, registers for, or attends a Retreat.
- “Website” refers to ssretreats.com and all its pages, content, and functionality.
- “Services” refers to all services offered by Sovereign State Retreats, including retreat programming, accommodations, activities, and related logistics.
- “Booking” refers to a confirmed reservation for a Retreat, including payment of the required deposit or full amount.
2. Eligibility
Sovereign State Retreats are exclusively designed for licensed mental health professionals — including but not limited to therapists, psychologists, social workers, counselors, and psychiatrists. By submitting an application or booking, you represent and warrant that:
- You are at least 18 years of age.
- You hold a valid and active professional license in your jurisdiction of practice.
- You have the legal capacity to enter into a binding agreement.
- All information you provide is accurate, current, and complete.
We reserve the right to verify your professional credentials and to decline or revoke any booking if eligibility requirements are not met.
3. Booking and Payment
All bookings are made through our website at ssretreats.com. To secure your reservation:
- Full payment or a deposit (as specified on the booking page) is required at the time of booking.
- If a deposit is collected, the remaining balance is due no later than 30 days before the retreat start date.
- You will receive a booking confirmation via email within 48 hours of payment.
- All prices are listed in Canadian Dollars (CAD) unless otherwise stated. Currency conversion for international payments is handled by your payment provider at the prevailing exchange rate.
- All payments are processed securely through Stripe (via WooPayments). We do not store your payment card details.
We reserve the right to cancel any booking that has not been paid in full by the payment deadline. Spots are limited and allocated on a first-come, first-served basis. A booking is not confirmed until payment has been received and a confirmation email has been issued.
4. No Refunds and No Exchanges Policy
All sales are final. We do not offer refunds, exchanges, credits, or transfers under any circumstances.
By completing a booking, you acknowledge and agree that:
- All payments — including deposits and full balances — are non-refundable.
- No refund, credit, exchange, or transfer will be issued for cancellations, no-shows, early departures, late arrivals, or failure to attend the retreat for any reason.
- No refund or credit will be issued if you are unable to participate in specific activities due to personal health, physical limitations, or any other reason.
- No refund or credit will be issued if you are removed from the retreat for violating our code of conduct (see Section 5).
- This policy applies regardless of the reason for cancellation, including but not limited to: personal emergencies, illness, injury, travel disruptions, visa issues, scheduling conflicts, or change of mind.
We strongly recommend purchasing comprehensive travel insurance that covers trip cancellation, interruption, medical emergencies, and evacuation. Travel insurance is your protection against unforeseen circumstances — our no-refund policy remains in effect regardless of whether you have purchased insurance.
5. Retreat Participation
By booking and attending a Sovereign State Retreats experience, you acknowledge and agree that:
- You are physically and mentally able to participate in retreat activities, which may include but are not limited to: surfing, horseback riding, hiking, breathwork, yoga, meditation, sauna, cold plunge, and ceremonial or somatic experiences.
- You will complete and sign a liability waiver and assumption of risk form prior to arrival. Failure to submit a signed waiver may result in your inability to participate.
- You agree to abide by our code of conduct, which prioritizes respect, confidentiality, consent, and the well-being of all participants and facilitators.
- You will disclose all relevant medical conditions, allergies, medications, dietary requirements, and physical limitations in your pre-retreat forms.
- Participation in all activities is voluntary. You may opt out of any activity at your discretion.
We reserve the right to remove any participant whose behavior disrupts the safety, well-being, or experience of others, without refund.
6. Health and Safety Disclaimer
The retreat includes therapeutic, somatic, and experiential programming facilitated by qualified professionals. However:
- Retreat activities are not a substitute for medical treatment, clinical therapy, or psychiatric care.
- Facilitators are providing experiential and educational programming — not clinical treatment — during retreat activities.
- You are solely responsible for determining whether any activity is appropriate for your physical and mental health.
- Sovereign State Retreats is not liable for any injury, illness, emotional distress, or adverse reaction arising from participation in retreat activities.
- If you have a pre-existing medical or mental health condition, consult your healthcare provider before attending.
7. Travel and Logistics
Unless explicitly stated otherwise in your booking confirmation:
- Airfare and travel to and from El Salvador are not included in the retreat price.
- Visa and entry requirements are the sole responsibility of the participant. Ensure your passport is valid for at least 6 months beyond the retreat dates.
- Airport transfers may be included depending on the retreat package — refer to your booking confirmation for details.
- We are not responsible for delays, cancellations, or disruptions to your travel arrangements.
8. Photography and Media
Professional photography and videography may take place during the retreat for marketing, promotional, and documentary purposes. By participating, you consent to the use of your likeness, image, and voice in our marketing materials, website, social media, and promotional content unless you opt out in writing before the retreat begins.
Opting out will not affect your retreat experience in any way. To opt out, email info@ssretreats.com with your preference before your retreat start date.
9. Confidentiality
The retreat environment is designed as a safe and confidential space. All participants agree to:
- Respect the privacy and confidentiality of all other participants, facilitators, and staff.
- Not disclose, share, or publish any personal information, stories, experiences, or disclosures shared by others during the retreat.
- Not record (audio or video) other participants without their explicit written consent.
Breach of confidentiality may result in removal from the retreat without refund and may give rise to legal liability.
10. Intellectual Property
All content on ssretreats.com and all retreat programming — including but not limited to text, images, branding, logos, photography, videos, curriculum, workshop materials, and design — is the intellectual property of Sovereign State Retreats and is protected by applicable copyright and trademark laws. You may not reproduce, distribute, modify, or publicly display any of our content without prior written permission.
11. Website Use
When using our website, you agree not to:
- Use the website for any unlawful purpose or in violation of these Terms.
- Attempt to gain unauthorized access to our systems, servers, or databases.
- Introduce viruses, malware, or other harmful code.
- Scrape, crawl, or use automated tools to extract data from our website without our written permission.
- Impersonate another person or misrepresent your identity or affiliation.
- Interfere with the proper functioning of the website.
12. Limitation of Liability
To the fullest extent permitted by applicable law, Sovereign State Retreats, its founders, directors, officers, employees, facilitators, staff, agents, and partners shall not be held liable for any direct, indirect, incidental, special, consequential, or punitive damages arising from or related to:
- Your participation in any retreat or retreat activity.
- Your use of or inability to use the website.
- Any personal injury, property damage, emotional distress, or financial loss.
- Any errors, omissions, or inaccuracies in website content.
- Unauthorized access to or alteration of your data or transmissions.
- Travel disruptions, delays, cancellations, or lost luggage.
Our total aggregate liability for any claim shall not exceed the total amount you paid for your retreat booking.
13. Indemnification
You agree to indemnify, defend, and hold harmless Sovereign State Retreats, its founders, directors, officers, employees, facilitators, agents, and partners from and against any and all claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising out of or related to your breach of these Terms, your participation in a retreat, or your violation of any applicable law or the rights of any third party.
14. Force Majeure
In the event of circumstances beyond our reasonable control — including but not limited to natural disasters, pandemics, epidemics, government restrictions, travel bans, war, terrorism, civil unrest, extreme weather, or failure of third-party services — Sovereign State Retreats may:
- Reschedule the retreat to a future date, with all payments applied to the new date.
- Offer a credit toward a future retreat of equal or greater value.
In force majeure situations, no cash refunds will be issued. We will communicate any changes as soon as reasonably possible and will make good-faith efforts to accommodate affected participants.
15. Dispute Resolution
In the event of any dispute arising out of or relating to these Terms or your participation in a retreat:
- Step 1 — Informal resolution: You agree to first contact us at info@ssretreats.com and attempt to resolve the dispute informally within 30 days.
- Step 2 — Mediation: If informal resolution fails, both parties agree to engage in good-faith mediation before initiating any legal proceedings.
- Step 3 — Governing law and jurisdiction: These Terms are governed by and construed in accordance with the laws of the Province of Ontario, Canada. Any legal proceedings shall be brought exclusively in the courts of Ontario.
16. Electronic Communications
By providing your email address and using our services, you consent to receiving electronic communications from us, including booking confirmations, receipts, retreat logistics, and — with your opt-in consent — marketing communications. Electronic communications satisfy any legal requirement that communications be in writing. You may withdraw consent for marketing emails at any time.
17. Third-Party Links and Services
Our website and retreat programming may reference, link to, or incorporate third-party websites, services, or content. We do not control, endorse, or assume responsibility for third-party content, privacy practices, or terms of service. Your interactions with third parties are solely between you and that third party.
18. Modifications to Terms
We reserve the right to update or modify these Terms at any time. Changes take effect when posted on this page with an updated “Last Updated” date. For material changes that affect existing bookings, we will make reasonable efforts to notify affected participants via email. Your continued use of our website or services after any modification constitutes acceptance of the updated Terms.
19. Severability
If any provision of these Terms is held to be invalid, illegal, or unenforceable by a court of competent jurisdiction, the remaining provisions shall remain in full force and effect. The invalid provision shall be modified to the minimum extent necessary to make it valid and enforceable while preserving its original intent.
20. Entire Agreement
These Terms, together with our Privacy Policy and any liability waiver or additional agreements signed in connection with a retreat, constitute the entire agreement between you and Sovereign State Retreats. These Terms supersede all prior or contemporaneous agreements, representations, or understandings, whether oral or written.
