When you visit ssretreats.com or book a retreat with Sovereign State Retreats, we may collect the following information:

  • Personal identification: Full name, email address, phone number, mailing address.
  • Professional information: Professional designation, licensing body, and practice details (to verify eligibility).
  • Payment information: Credit/debit card details are processed securely through Stripe (WooPayments). We do not store your card information on our servers.
  • Health disclosures: Medical conditions, allergies, dietary requirements, and physical limitations disclosed for retreat safety planning.
  • Technical data: IP address, browser type, device information, and pages visited (collected automatically via cookies and analytics).
  • Communications: Emails, form submissions, and any correspondence you send us.

2. How We Use Your Information

We use the information we collect to:

  • Process bookings and send confirmation emails and receipts.
  • Prepare for your retreat — including meal planning, activity accommodations, and safety measures based on your disclosures.
  • Send your welcome kit and pre-retreat logistics information.
  • Communicate with you about your reservation, retreat updates, and post-retreat follow-up.
  • Marketing communications — only with your explicit consent. You may opt out at any time.
  • Improve our website and services based on usage patterns and feedback.
  • Comply with legal obligations including tax reporting and record-keeping.

3. Payment Processing

All payment transactions are handled by Stripe (via WooPayments). Stripe is PCI DSS Level 1 certified — the highest level of security certification in the payments industry. When you make a payment:

  • Your card details are transmitted directly to Stripe via encrypted connection.
  • We never store, process, or have access to your full card number, CVV, or PIN.
  • We only receive a transaction confirmation, the last 4 digits of your card, and the payment amount.

4. Cookies & Analytics

Our website uses cookies to provide essential functionality and improve your experience:

  • Essential cookies: WooCommerce session cookies required for the booking and checkout process. These cannot be disabled.
  • Analytics cookies: We may use Google Analytics or similar tools to understand how visitors use our site. This data is anonymized and aggregated.
  • Marketing cookies: We do not currently use marketing or advertising cookies.

You can manage cookie preferences through your browser settings. Disabling essential cookies may affect your ability to complete a booking.

5. Third-Party Services

We share your information only with trusted third parties necessary to deliver our services:

  • Stripe (WooPayments) — payment processing.
  • WooCommerce — order management and booking system.
  • Email service provider — transactional and marketing emails (with your consent).
  • Retreat venue and logistics partners — your name and dietary/medical disclosures may be shared with the retreat venue in El Salvador for safety and accommodation purposes.

We do not sell, rent, or trade your personal information to any third party for marketing purposes.

6. Data Retention

We retain your information for the following periods:

  • Booking and financial records: 7 years (as required by Canadian tax and legal obligations).
  • Health disclosures: Securely deleted within 90 days after the retreat concludes, unless required for ongoing safety documentation.
  • Marketing consent records: Retained until you withdraw consent.
  • Website analytics data: Anonymized and retained for up to 26 months.

7. Your Rights

Under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial legislation, you have the right to:

  • Access the personal information we hold about you.
  • Correct any inaccurate or incomplete information.
  • Request deletion of your personal information (subject to legal retention requirements).
  • Withdraw consent for marketing communications at any time.
  • File a complaint with the Office of the Privacy Commissioner of Canada if you believe your rights have been violated.

8. International Transfers

Your data may be processed in Canada and the United States (where our hosting and payment processors are located). By using our services, you consent to the transfer of your information to these jurisdictions, which may have different data protection laws than your country of residence.

9. Children’s Privacy

Sovereign State Retreats is exclusively for licensed mental health professionals aged 18 and over. We do not knowingly collect personal information from anyone under the age of 18. If we become aware that we have collected information from a minor, we will delete it immediately.

We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or services. When we make significant changes, we will update the “Last Updated” date at the top of this page and, where appropriate, notify you via email.
